Town Hall Lettings

Gillingham Town Hall has a a large meeting room ( The Jubilee Room) available to hire along with a more intimate one to one office space.  There is also a room for civic wedding ceremonys ( The Civic Hall) which can seat 60 people. 

The Community Office located next to the library offers a small meeting room for up to 10 people. It is equipped with cups and saucers and a kettle.  A pay and display car park is located at the rear of the building.

Responsibilities Of Hirer:

For the period of the hire the following shall be applicable and the hirer shall be responsible for ensuring:

1.1 The hirer shall at all times ensure that the fire escapes, fire escape routes, fire fighting equipment and fire alarm control points are KEPT CLEAR OF OBSTRUCTIONS.

1.2 There shall be NO SMOKING OR NAKED FLAMES throughout the building.

1.3 Gillingham Town Council will provide insurance cover for THIRD PARTY RISKS ONLY. The hirer is to ensure own provision of additional insurance as necessary.

1.4 All other offices and areas of the building outside of the scope of this licence shall not be subject to access other than by authorised persons. The Room Booking Form supplements this agreement highlights specific rooms booked by the hirer.

1.5 Any provision of music shall be set at such a level so as not to cause a nuisance to nearby properties.

1.6 The connection of amplifiers, musical instruments and any other associated equipment to the mains electricity supply must include an RCD circuit breaker. Extension leads should be laid not to cause a trip hazard.

1.7 The setting up of the room prior to the start of the event is the responsibility of the hirer unless a setting up fee has been paid. The Function Room shall be returned, upon completion of the event, to a CLEAN and TIDY condition as found. This shall include the access passageways, entrance porch and car park, furniture is to be returned to its correct location, and any rubbish is to be removed from the building.

N.B cleaning equipment, including a vacuum cleaner, can be found in the brown cupboard in the large kitchen.

1.8 Within reason, the decoration of the room prior to an event will be accepted. Following completion, all decorations are to be removed.

1.9 The kitchen is to be used on the understanding that the area is to be left CLEAN and TIDY as found. There shall be no objection to the hirer arranging a caterer for a function or event. This shall be on the nderstanding that the hirer shall be responsible for ensuring that the caterer removes all items of equipment and disposes of any waste food outside of these premises.

1.10 The hirer shall ensure that all items of crockery are washed and returned to the appropriate storage cupboards.

1.11 Gillingham Town Council will provide a security number for the hirer to unlock and lock the building as required. The hirer is to ensure that all windows/fire doors are shut and locked where applicable, all lights turned off, that front and back entrance doors are locked and that the heating is on the setting that is was found on.

FIRE ACTION:
A person discovering a fire:
Sound the alarm.
Attack the fire using the appliances provided, without taking any personal risk.

On hearing the fire alarm:
Leave the building by the shortest practical route closing all doors behind you.
Report to assembly point in the Lidl store car park.

FORFEITURE:
Failure by the hirer to meet with any of the terms laid out in this agreement may impact future chances of securing a booking.
Gillingham Town Council reserves the right to deny bookings to any parties that have violated the terms of this agreement in the past.
